User Management & Audit Logs

Add and manage users, assign roles, and review every change in your brand through the Audit Logs.

This article covers how to add, edit, and assign roles to users in your Dashboard, and how to review activity through the Audit Logs. It is for account administrators.


Prerequisites

  • Admin or System Admin role. Only users with these roles can create or modify other users.

  • Audit Logs are visible to Admins only.

  • Granular user permissions (multiple roles beyond Admin) require a Pro, Plus, Advanced, or Custom plan. On the Standard plan, all users have the same access level.

  • Single Sign-On (SSO) is available on Custom plans only.


Opening the Users Page

  1. In the left sidebar, click Users under the Admin section.

  2. The Users page displays every user in your brand, with columns for Email, Name, Company, Role, Status, Created, and Last Activity.

Use the filters above the table to search by email, role, or company.

Creating a New User

  1. On the Users page, click Create User in the top-right corner.

  2. Enter the user's details: - Email — Required. The user will receive an email to set up passwordless sign-in. - Name — Optional. Used for display purposes. - Phone Number — Optional. International format (for example, +12345678900). - Role — Required. See the role table below. - Company / Tenant — Required. The company this user will be assigned to.

  3. Click Create User. The user receives an email with their first sign-in link.


User Roles

Role

What They Can Do

Admin

Full access within a single brand — users, products, templates, batches, settings, audit logs.

Editor

Can create and edit products, templates, themes, and batches. Cannot manage users or brand settings.

Viewer

Read-only access. Can view reports, analytics, products, and scan data. Cannot make changes.

Batchmaker

Device operator. Can sign in to the BatchMaker application and run production batches.

Note: A user can have only one role at a time. To change a role, edit the user and select the new role.

Editing or Deactivating a User

  1. On the Users page, click the three-dot menu at the end of a user's row.

  2. Choose Edit User to change the name, role, or phone number.

  3. Choose Deactivate User to revoke access without deleting the account. You can reactivate the user later from the same menu.


Audit Logs

The Audit Logs page records every change made in the Dashboard — product creation, template edits, user changes, metafield updates, deletions, archivals, and restorations.

Opening Audit Logs

  1. In the left sidebar, click Audit Logs under the Admin section.

  2. The log displays entries in reverse chronological order. Each entry shows the user, timestamp, action type, and a short description.

Filtering the Log

Use the filters on the right side of the page to narrow the log:

Viewing Change Detail

Click an individual log entry to expand it. The expanded view shows the full payload of what changed — for example, the before-and-after values of a template edit or the fields that were updated on a user record.

Tip: Use Audit Logs to investigate accidental changes. Every edit is captured with the user who made it and the exact fields that changed, which makes it straightforward to roll back or reproduce a configuration.


Troubleshooting

Issue

Solution

I do not see Users or Audit Logs in the sidebar

These sections require Admin or System Admin role. Contact your account owner.

New user did not receive the sign-in email

Ask the user to check their spam folder. Confirm the email address is correct on the Users page. If it still does not arrive, delete the user and recreate with the correct address.

I need to change a user's email

Email cannot be changed on an existing user. Deactivate the account and create a new user with the correct email.

Audit log entry is missing detail I need

The detail is inside the expanded view — click the row to expand. If the field you need is genuinely missing, contact [email protected].
